1. Collection notice
Matthew's Chess Adventure is a trading name of Wynne Consulting Pty Ltd (ABN 41 682 931 675) ("we", "us"). This notice explains what happens when we collect your personal information.
- What we collect: your name, email address and role (parent, teacher, therapist, club or bookshop) when you send an enquiry; your email address if you join Letters from the King; and, once ordering opens, delivery details and the personalisation details for your child's book.
- About children: only a parent, guardian, teacher, coach or club official gives us a child's details, and only what we need to personalise the book. See section 3A.
- Why: to respond to you, provide what you ask for, run and improve this site, and, if you agree, send you updates.
- If you don't provide it: we may not be able to respond or provide the product or service. You can browse the site and use its in-page tools without giving us your name.
- Who we share it with: service providers who host this site and handle email and payments on our behalf, and other brands operated by Wynne Consulting Pty Ltd only where you ask to be referred to one. We do not sell personal information.
- Overseas: some of those providers store data outside Australia, which may include the United States and the European Union.
- Your rights: you can ask to see or correct your information, or complain, as set out in this policy. Contact privacy@matthewschessadventure.com.au.
2. Who we are
Matthew's Chess Adventure publishes a chapter-book series for readers 7 to 12, set in a chess kingdom, sold as written or personalised with a child's name. Matthew's Chess Adventure is a trading name of Wynne Consulting Pty Ltd (ABN 41 682 931 675). We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth), whether or not the Act applies to a business of our size.
3. The information we collect
We collect only what we need for the purpose you're engaging with us for.
- Contact details: name, email address, phone number, company and role, when you give them to us.
- What you tell us: the content of enquiries, Heirloom questionnaire answers you choose to submit, and your preferences.
- Technical information: pages visited, approximate location derived from IP address, device and browser type, collected through privacy-focused analytics. See section 8.
- Delivery details: the name and address a book is shipped to, once ordering opens.
- Personalisation details: the details in section 3A, given by a parent, guardian or educator.
We do not ask for sensitive information (such as health information) unless it is necessary for a service you request, and then only with your express consent.
You can deal with us anonymously or under a pseudonym where that's practical, for example when browsing or using an in-page tool.
3A. Information about children
Our products are made for children, and we buy and correspond only with adults. A parent, guardian, teacher, coach or club official gives us any information about a child; we do not knowingly collect personal information directly from anyone under 15.
We collect only what we need to personalise the product: the child's first name or chosen name, an optional cover nickname, the pronouns the story should use, the names of family members and pets who appear as chess pieces, the cover child's look (skin tone, hair, glasses or headphones), your dedication, and, for an Heirloom commission, your interview answers. We do not need, and ask you not to give us, a child's surname, school, address, photo, or any health, medical, diagnosis or disability information.
Heirloom commissions only: if you would like the painted portrait made from reference photos, sending photos is optional (we can paint from your cover choices and a written description instead), is explained in plain words at the step where you would send them, and happens only with a separate tick-box consent. Only our illustrator uses the photos, and we delete them 30 days after you approve the final proof.
Children's information is used only to make the product you ordered. It is never used for marketing, never shared with any other business or brand, and never used to train AI models. We delete personalisation details 90 days after your order is delivered, unless you ask us to keep them for a later book. You can ask us to delete them at any time by emailing privacy@matthewschessadventure.com.au; we confirm deletion within 30 days.
The personalisation preview on our Editions page runs in your browser. What you type there is not sent to us.
4. How we collect it
Directly from you: through forms on this site, by email, by phone, or in meetings. We only collect information about you from someone else (for example, a colleague who refers you) where it's reasonable to do so, and we tell you when we've done that.
5. How we use it
- To respond to enquiries and provide the products and services you ask for.
- To administer our relationship with you, including invoicing.
- To improve this site and our products, using aggregated information wherever possible.
- To send you updates or marketing, only where you've agreed or would reasonably expect it. Every marketing email has an unsubscribe link, and we act on it within five working days.
- To meet our legal obligations.
If you join our mailing list, we use your email address to send the updates you signed up for. Sign-up and enquiry forms on this site are received by Formspree (Formspree Inc., United States), which passes them to our Microsoft 365 mailbox. Updates are sent through Microsoft 365, and any mailing-list service we name here before we use it. We only send them with your consent, every email identifies us and has a working unsubscribe link, as the Spam Act 2003 requires.
6. Who we disclose it to
- Service providers acting for us: website hosting, email and newsletter delivery, analytics, file storage, payment processing. They may use the information only to provide their service to us.
- Other brands operated by Wynne Consulting Pty Ltd, only where you ask to be referred or the enquiry is clearly for them.
- Professional advisers (accountants, lawyers, insurers) under confidentiality.
- Regulators or others where the law requires or authorises it.
We do not sell, rent or trade personal information.
7. Overseas disclosure
Some of our service providers store or process data outside Australia, which may include the United States and the European Union. We take reasonable steps to ensure they handle it consistently with the Australian Privacy Principles. Current providers: hosting, Cloudflare (Cloudflare Pages); email correspondence, Microsoft 365; website forms, Formspree (United States); analytics, Cloudflare Web Analytics, which is cookieless. If we add a mailing-list or payment service, we will name it here before we use it.
8. Cookies and analytics
This site uses Cloudflare Web Analytics, which is cookieless: it does not use advertising cookies or build profiles of individual visitors. The name previews on our home and Editions pages run in your browser, and what you type there is not stored or sent to us.
If you arrive from one of our ads, the page may keep that ad's campaign tags (for example utm_source) in your browser's session storage for the rest of your visit, so we can show the matching information. They contain no personal information and are cleared when you close the tab.
9. Automated decisions
We do not make decisions that significantly affect you using only automated processes.
10. Storage, security and retention
We store information with reputable providers and protect it with access controls, encryption in transit, and staff confidentiality. We keep personal information only as long as we need it for the purpose it was collected or as the law requires (for example, tax records for five years). Then we delete or de-identify it. Enquiries that don't lead to work are deleted after 24 months.
If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as the law requires.
11. Accessing and correcting your information
You can ask for a copy of the personal information we hold about you, or ask us to correct it, by emailing privacy@matthewschessadventure.com.au. We respond within 30 days. We may need to confirm your identity first. There is no charge for asking.
12. Complaints
Email privacy@matthewschessadventure.com.au with the details. We will acknowledge your complaint within five working days and aim to resolve it within 30 days. If you're not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
13. Changes
We may update this policy. The current version is always on this page, with its date at the top.
